Before you file: what to have ready

The information, records and documents to gather before you start filing.

Written by Cross River Administrator

You know you need to file.
You know where to file.
You know the process.
But wait…
Before you open that filing screen and start typing away, there's one important question:
“Am I actually ready to file?”Because filing your tax return is much easier when your information and documents are already waiting for you.
Think of it like preparing for a journey.
You don't start the engine and then shout:

“Wait! Where are my keys?”

You get everything ready before you leave.
The same principle applies to tax filing.

Your tax filing toolkit

Before you begin, gather the information and documents that apply to your particular return.
1. YOUR TAXPAYER DETAILSStart with the basics.
Have your relevant taxpayer information available, such as:

  • Your name

  • TIN or other applicable taxpayer identification

  • Contact details

  • Address

  • Business details, where applicable

  • Other taxpayer information required for the return

Quick tip:Make sure the information you're entering matches your taxpayer records.
Wrong details at the beginning can create unnecessary problems later.

2. KNOW YOUR FILING PERIODDon't just know what you're filing.
Know which period you're filing for.
Ask yourself:

“Which tax year, assessment period or filing period does this return cover?”

A correct return filed for the wrong period is still a problem.
Remember:RIGHT TAXPAYER → RIGHT RETURN → RIGHT PERIOD

3. YOUR INCOME INFORMATIONNow we get to the numbers.
Have the relevant income information for the filing period available.
Depending on your circumstances, this could include information relating to:

  • Employment income

  • Business income

  • Professional or other relevant income

  • Other income that the applicable tax rules require you to report

Don't rely on memory.
Golden rule:If the figure matters, find the record.

4. YOUR SUPPORTING RECORDSThis is where your paperwork becomes your best friend.
Depending on the type of return, relevant records may include:
income statements
invoices
receipts
business records
payroll information
withholding/PAYE records
previous tax documents
payment evidence
other supporting documents required for the return
Not every taxpayer will need every document.
The important thing is to know which records apply to your particular filing.

5. TAX ALREADY PAID OR DEDUCTEDHave evidence of relevant taxes already paid or deducted where applicable.
For example, depending on your circumstances, you may need information relating to:

  • PAYE deducted

  • Withholding tax

  • Advance or other tax payments

  • Other applicable tax credits or payments

Why does this matter?Because your return should reflect the relevant information about taxes already paid or deducted.
Don't leave your payment history outside the story.

6. SUPPORTING DOCUMENTS YOU MAY NEED TO ATTACHSome returns may require supporting documents.
So before you start, ask:

“Does this return require me to upload anything?”

If yes, have the relevant documents ready.
And please…
Don't upload the wrong document! Before attaching anything, check:
Is it the correct document?
Is it readable?
Does it relate to the return?
Is it the correct period?
Is it in the required format, where applicable?

7. YOUR CALCULATIONSDon't wait until you're halfway through the return before discovering that you don't understand your own figures.
Review the information you have gathered.
Where calculations are required, make sure your figures are based on appropriate records and the applicable tax rules.
And when the system calculates something for you…
LOOK AGAIN!Technology can help with calculations, but you are still responsible for reviewing the information you submit.

8. YOUR LOGIN ACCESSBefore starting your digital filing journey, make sure you can actually access your account.
You don't want to reach the final stage and suddenly discover:

“Ah! I can't remember my password!”

Make sure your login credentials and any required verification method are available.
Security reminder:Never share your password, PIN or verification codes with another person.

9. KNOW WHAT YOU ARE DECLARINGThis one is extremely important.
Don't just enter figures because:

“The system asked for it.”

Understand what you are declaring.
Before submitting, ask:
“Does this information accurately represent my tax position for this filing?”If you don't understand an item, pause and seek the appropriate clarification.

10. CREATE YOUR OWN LITTLE FILING FOLDERHere's a simple trick that can save you plenty of stress.
Create a folder for the relevant filing period.
For example:
Tax Filing — 2026
Inside it, you can organize relevant:

  • Income records

  • Supporting documents

  • Payment evidence

  • Submitted returns

  • Acknowledgements

  • Assessments

  • Tax correspondence

Now, when you need something later…
No more detective work!

The 5-minute ready check

WHO?Am I using the correct taxpayer details?
WHEN?Am I filing for the correct period?
WHAT?Do I have the relevant income and financial information?
WHERE?Do I have the supporting documents I may need?

If you can answer those questions confidently…
